Photographing an institutional event: protocol, access and delivery
Protocol, accreditation, organiser coordination and urgent images: what to prepare when photographing an official ceremony or meeting.

What makes an institutional event different?
A conventional corporate event allows a little flexibility. You can retake an unsuccessful photograph, move a speaker or ask someone to pose.
In an institutional setting, these options are rarely available. The public figures attending have tight schedules. Protocols are established in advance. A minister signing an agreement will not repeat the moment because the focus was wrong. A medal presentation takes only seconds. The photographer has to be in the right place before it happens, not afterwards.

Venue requirements add another layer: listed buildings, heightened security, accreditation and public image considerations. Any photograph may appear in a press release, an annual report, on a ministry’s website or in the national press. The demands are different from those of a company’s after-work gathering.
What I cover for institutions in Paris
My public-sector and institutional assignments cover a wide variety of formats:
- Official ceremonies and award presentations: capturing the exact moment of presentation, the recipients’ expressions and the quality of the visual setting.
- Protocol visits and inaugurations: often limited in time and access, these assignments require careful anticipation of movements.
- Institutional conferences and speeches: multiple speakers, challenging light levels and key moments following each other in quick succession.
- High-level meetings and consultation sessions: maximum discretion, with images used primarily for internal communications.
- Ministerial events and state ceremonies: my assignments have included Matignon’s Christmas event at the Paris Opera.
My public-sector references

I have had the opportunity to work for several leading institutions and public figures. My references include the French government, EDF Fondation, the Cercle de l’Union Interalliée, and assignments involving government members: prime ministers, ministers, secretaries of state and diplomatic representatives.
These assignments have given me practical knowledge of institutional environments in Paris: prestigious venues, accreditation requirements, working around security teams, and coordinating with press offices and communications staff.
Discretion and independence: how I work in practice
The first principle is to make the organising team’s work easier. I manage my own accreditation, equipment and movements within the venue. There is no need to assign someone to accompany me or explain where to stand at every stage. I identify the key moments in the programme and plan ahead.
The second principle is to avoid interfering with the event. No intrusive flash in a quiet ceremony room. No requests for a speaker to change position. No stepping into a public figure’s line of sight at the wrong moment. I use available light wherever possible and adapt my settings accordingly, rather than imposing technical constraints on the event.
The third principle concerns delivery. Institutions may need images for social media, the press or an internal briefing. The complete selected and edited gallery is usually delivered within 24 to 72 hours. Deadlines are specified in the quote. A priority selection of 10 to 20 images is available for an additional €150, at a time agreed in advance.
Who this service is for
This service is for communications officers and directors at public institutions, ministries, government agencies, public-interest foundations, local authorities and public-sector bodies organising events in Paris and Île-de-France.
It is also for event agencies that regularly work with institutional clients and need a photographer who does not require step-by-step instructions for every assignment.
