What information should you send, how is the assignment confirmed and what will your team receive? The steps from first brief to delivered gallery.

From first contact to delivery: how event photography in Paris works

Are you looking for a photographer for a business event in Paris? Wondering what really happens between your first enquiry and receiving the images? Here is a straightforward account of the complete process.

The brief: ten minutes is enough

Contrary to what you might expect, B2B event photography does not require a twenty-page brief. To get started, I need the event type, date, venue, schedule, key moments that must be covered and the main people to photograph. A list of five to ten points is enough in most cases. A detailed programme is helpful, but it is not essential.

The brief can be shared by email, phone or WhatsApp. The aim is for me to arrive on the day with a clear understanding of your priorities and no need for on-site direction.

Your quote after review of the brief

I provide an initial reply within one working day. I prepare your quote personally after reviewing your brief. The proposal specifies coverage, deliverables, usage rights, deadlines and price.

Once you approve the quote, a deposit confirms the date. For complex events involving several spaces, multiple days or a trade show, a visit to the venue can be arranged beforehand.

On the day: discreet and independent

This is when everything comes together. My approach is simple: to be present throughout without getting in the way. In a B2B setting, nobody wants a photographer interrupting an important conversation or disrupting a speech. I arrive early, assess the spaces, identify the angles and start working without waiting for instructions.

In practice, I cover the key moments, including speeches, award presentations and demonstrations; interactions, such as networking, conversations between attendees and activity at stands; the overall atmosphere, including decor, branding and wide views; and the main people, including speakers, executives and VIP guests.

Delivery: fast and ready to use

The complete selected and edited gallery is usually delivered within 24 to 72 hours. Deadlines are specified in the quote. A priority selection of 10 to 20 images is available for an additional €150, at a time agreed in advance.

The images are delivered as high-resolution JPEGs, edited and ready to use. You do not need to sort them yourself.

Usage rights: clear from the start

The standard licence covers your internal and external communications: website, social media, communications materials, press relations and annual reports. Extensions are available on request for specific uses, such as outdoor advertising, paid campaigns or licensing to a third party.
