Small event businesses: planning photography for your communications

Teams, interactions and venues: planning photographs consistent with your company, its communications and the events it organises.

Small event businesses: planning photography for your communications

Define the uses before the shoot

Start with the channels you need to supply: company website, sales presentations, social media, press or internal communications. A team photograph, a venue overview and coverage during an event serve different purposes.

Show the people and the real work

Identify the teams, gestures and interactions that explain your activity. A detail can complement a wide view, but needs to make sense within the series. If a photograph comes from a festival or reception, explain its context rather than presenting it as a corporate event.

Prepare a short list of priority photographs

Identify priority people, venues, moments that cannot be repeated and the formats your channels need. Include access, timings and confidentiality requirements. A clear list helps the photographer prepare without interrupting your team at every stage.

Compare a complete series and the deliverables

When choosing a photographer, ask to see a comparable complete assignment and assess its consistency: wide views, people, conversations and details. The quote should specify coverage, permitted uses, deadlines and any additions.

Plan delivery and future needs

Agree on who will receive the gallery and which images are urgent. For recurring work, keep a list of uses and images still missing from your photo library. The next assignment can complement previous coverage rather than repeat the same situations.
